How it works

From scattered files to
one clear pipeline

1

Add your papers.

Create a card for each manuscript — title, venue, co-authors, deadline — and attach the document.

2

See your pipeline.

Every paper and its status on one board — what is planned, in review, and decided, with deadlines up front.

3

Work on them together.

Invite co-authors to any paper. They see the same files and status, and you move it forward as a team.

FAQ

Common Questions
About ScholaRef

ScholaRef is one workspace for your whole research pipeline. It starts with your Dashboard — a card for every manuscript, with its status, target venue, deadline, priority, co-authors, and attached document — so nothing gets lost between drafts and submission.

On top of that it adds an end-to-end AI toolkit — Deep Review, War Room orchestration, Reference Checker, Novelty Checker, Peer Review Simulator, Journal Recommender, Keyword & Abstract Studio, Grammar Checker, AI Detector, and Academic Explorer — plus shared team workspaces so whole labs can work together.

ScholaRef is for researchers, PhD students, postdocs, supervisors, and labs who want stronger submissions and faster review cycles.

  • Individual researchers refining a manuscript before journal submission
  • Graduate students preparing thesis papers or conference drafts
  • Co-authors collaborating on shared papers and live documents
  • Labs and teams sharing one token pool and workspace

The Dashboard is your submission tracker and home base. Add a card for each paper and see your whole pipeline on one board — what is in preparation, under review, submitted, accepted, or rejected — with deadlines and priorities up front.

  • Attach the manuscript (PDF or Word) and keep files, status, venue, and co-authors in one place
  • Invite co-authors to any paper so they see the same files and status
  • Launch any AI tool — Deep Review, War Room, and more — directly from a card

Tracking your submissions on the Dashboard is free and does not use tokens.

Create an account, then add your first paper to the Dashboard — give it a title, target venue, and deadline, and attach the manuscript. From there you can open any AI tool on it or invite a co-author. New accounts start with 5 free tokens, so you can test the AI workflows right away (tracking papers on the Dashboard is always free).

Your profile includes saved Deep Review reports, War Room reports, revised drafts, token purchases, usage analytics, referral invitations, notification preferences, and public profile sharing tools.

War Room is the planning workspace. It combines review results with tasks like reviewer suggestions, keywords, abstracts, and venue targeting.

Deep Review is the 13-check manuscript audit. You can run it alone or use it inside War Room.

Yes. Use Journal Recommender for ranked matches, then validate journals, publishers, authors, and institutions in Academic Explorer before deciding where to submit.

Academic Explorer includes one interface for journals, authors, papers, publishers, institutions, plus an Academic Assistant.

  • Search, filter, sort, and compare entities with research metrics
  • Browse large OpenAlex-backed datasets from one dashboard
  • Use Assistant chat for natural-language queries (1 token per prompt)

Beyond War Room and Deep Review, you can run:

  • AI Detector (AI-likelihood score with model-attribution signals)
  • Keyword & Abstract Studio (10 keywords + 3 abstract drafts)
  • Reference Checker (extract, verify, export references)
  • Novelty Checker (overlap scoring with related papers)
  • Peer Review Simulator (3 reviewer-style outputs)
  • Grammar Checker (text + PDF OCR writing correction)

Supervisors can create multiple team workspaces — one per lab, project, or course — and invite up to 50 members to each by email. Team tokens are purchased separately from personal tokens and can either stay in one shared pool or be distributed to members by percentage.

Everyone can message teammates in built-in team chat, and the team dashboard shows member balances, papers, War Room sessions, and pending invitations — without mixing team resources with anyone's personal account.

Yes. From a Dashboard card you can open an attached Word document and edit it online with your co-authors in real time. Changes save back to the same file, so everyone always works from the latest version — no emailing drafts back and forth.

Yes. Deep Review reports are exportable as PDF, War Room reports can be saved/exported, and revised drafts can be saved and downloaded from your profile.

Yes. Deep Review and War Room support background processing with live progress tracking, stop controls for active runs, and completion emails when enabled.

No. ScholaRef helps you prepare before submission. Final decisions are still made by human editors and peer reviewers.

ScholaRef uses token-based pricing. Standard costs are:

  • War Room: 8 tokens
  • Deep Review: 6 tokens
  • AI Detector: 1 token
  • Peer Review Simulator: 1 token
  • Journal Recommender: 1 token
  • Keyword & Abstract Studio: 1 token
  • Novelty Checker: 1 token
  • Reference Checker: 1 token
  • Academic Assistant prompt: 1 token

Tracking papers on the Dashboard, team workspaces, live document editing, Grammar Checker, and standard Explorer browsing do not consume tokens.

Billing uses one-time token packs (no subscription) through Stripe Checkout, with support for promotion codes. Purchase history, token balance, and billing records are available in your profile.

Yes. Each account can invite up to 10 people; when an invite is accepted, both users receive referral tokens. You can also manage detailed notification preferences and submit bug reports for token compensation when issues are validated.

Yes. Manuscripts are processed to run your requested analyses and are not used to train external public AI models. You can also permanently delete your account and related data from profile settings.

Built for real teams
Students, postdocs & supervisors
Every stage covered
From first draft to submission
Across disciplines
Any field, any venue
The War Room caught three inconsistencies my co-authors and I had missed for weeks. We submitted two days early for the first time in my career.
AK Dr. Amara K. Postdoctoral Researcher, Computational Biology
Reference Checker alone saved me an entire weekend. It flagged four broken citations before the editor ever saw them.
LM Liang M. PhD Candidate, Materials Science
Finally one dashboard for the whole lab. I can see every manuscript, who owns it, and what deadline is next — at a glance.
SR Prof. Sofia R. Lab Director, Neuroscience
The Journal Recommender pointed me to a venue I had never considered — and my paper was accepted there.
TN Tomás N. Assistant Professor, Economics
The Peer Review Simulator gave feedback that was scarily close to what Reviewer 2 actually wrote. We fixed it before it cost us a round.
HB Hana B. PhD Candidate, Robotics
Onboarding my whole research team took ten minutes. Everyone knew exactly what to work on the same afternoon.
DO Dr. David O. Research Group Lead, Physics
Deep Review reads like a thoughtful senior colleague. It made my methods section genuinely clearer, not just longer.
YC Yuki C. Graduate Researcher, Chemistry
I used to track submissions in a spreadsheet. ScholaRef replaced it and half a dozen other tools we were juggling.
EF Elena F. Postdoctoral Fellow, Public Health
